House Rules of the Premises

1. Purpose

These House Rules are intended to make the experience of Visitors to the Site as pleasant and safe as possible and apply to everyone entering the Site.

2. Definitions

In these House Rules, the following terms shall have the meanings set forth below and, where relevant, apply to both the singular and the plural:

  • Visitor: any (natural) person entering the Site, regardless of their capacity or the context;
  • Easyfairs Belgium: Easyfairs Belgium, a public limited company under Belgian law with its registered office at Maaltekouter 1, 9051 Ghent, Belgium, registered in the Crossroads Bank for Enterprises under number 0424.681.440, RPR Ghent;
  • Event: an event (including a trade fair or exhibition) organised by Easyfairs Belgium and/or by an Organiser on the Site;
  • Site: the entire site consisting of the buildings, infrastructure, and car parks of Antwerp Expo, Flanders Expo, Nekkerhal – Brussels North, or Namur Expo, respectively, depending on where the Event is held;
  • House Rules: these house rules of Easyfairs Belgium, including any future amendments thereto;
  • Organiser: the organiser of an Event on the Site, including Easyfairs Belgium;
  • Ticket Providers: the Organiser, partners of the Organiser and/or of Easyfairs Belgium, Easyfairs Belgium, and the exhibitors of an Event, whether the tickets are provided free of charge or for a fee.

3. Scope

3.1. General

These House Rules apply to the entire Site and shall be strictly observed by every Visitor in order to guarantee safety, hygiene, cleanliness, order, and the proper functioning of the Site.

Deviations from the provisions of these House Rules will only be permitted in exceptional cases following prior written agreement from Easyfairs Belgium.

Easyfairs Belgium is responsible for monitoring the application of these House Rules.
3.2. Notice
The House Rules are published on the website of Easyfairs Belgium as well as on the websites of the Sites (Antwerp Expo, Flanders Expo, Nekkerhal – Brussels North and Namur Expo).

Visitors who purchase or have obtained a ticket online via the Ticket Providers, or at the Site via a ticket booth, will be able to review the House Rules during the purchase process and must accept them before proceeding with the purchase or use of a ticket.

Visitors who obtain access by other means (visitor badge) will be informed of the House Rules via their contact person.

The House Rules are also available upon request at the Site reception.
3.3. Conflicting provisions

These House Rules do not affect the contractual provisions applicable to the cooperation between Easyfairs Belgium and Organisers of Events, nor agreements concluded between Easyfairs Belgium and concessionaires, partners, or subcontractors.

In the event of conflicting provisions between these House Rules and an agreement concluded with Easyfairs Belgium for a specific Event on the Site, or other applicable general terms and conditions for an Event, the provisions of these House Rules shall prevail, unless expressly stated otherwise in writing.

Specifically, these House Rules do not affect the general terms and conditions for Visitors for Events organised by Easyfairs Belgium (such as FACTS), with the exception of Article 4 “Access” and Article 6 “Privacy” of these House Rules, which shall prevail for the purpose of consistent application across the respective Sites.

Other terms used by Easyfairs in contractual documents (including the general terms and conditions for Venues and Events), such as the term “Internal Regulations”, refer to these House Rules.

4. Access

4.1. General

The Visitor undertakes to comply with these House Rules and to behave as a normally prudent and responsible person during their visit to the Site.

4.2. Tickets for events
Tickets for an Event can be obtained via the Ticket Providers.

    Easyfairs Belgium encourages purchasing tickets for Events online and in advance as much as possible.
      With the exception of tickets sold or offered by Easyfairs Belgium itself for events it organises, Easyfairs Belgium is not responsible for a Visitor’s inability to attend an Event organised by an Organiser on the Site due to an error in the purchase or issuance of a ticket, and is in no way obliged to refund any ticket purchase price.
        If a Visitor wishes to exchange a paid ticket for another ticket of the same or a higher price, the Visitor must contact the Organiser of the relevant Event or Easyfairs Belgium, if Easyfairs Belgium is the organiser of the Event.
          Tickets for Events are non-transferable. Any transfer or resale of a ticket by a Visitor to another Visitor or a third party (or any attempt to do so) will automatically result in the invalidity of that ticket, without the Visitor being entitled to a refund of the purchase price or any other compensation in this regard.
          4.3. Children

          Visitors who are under sixteen (16) years of age must be accompanied by a companion during their visit to the Site.

          4.4. Animals

          With the exception of recognised assistance dogs for persons with a disability and animals intended to be shown during an Event, animals are not permitted on the Site. For their Event, an Organiser may, however, expressly decide otherwise, provided they comply with the applicable legal regulations. During their presence, animals remain under the sole responsibility of their owner at all times. Easyfairs Belgium cannot be held liable for any damage caused by animals belonging to a Visitor or Organiser.

          4.5. Access for professional reasons
          Visitors entering the Site for professional reasons, whether or not in connection with the organisation of an Event, must report to the Site reception. Further arrangements will then be made via his or her contact person.

            If visitor badges are used, these are non-transferable.
            4.6. Refusal of access
            Easyfairs Belgium reserves the right, upon entry to the Site or during an Event, to refuse access to the Site to any Visitor who, without this list being exhaustive:


            • Cannot present a valid proof of entry to the Site (for example, a visitor badge or a ticket for an Event);
            • Is under the influence of alcohol, drugs, or other narcotic and/or stimulant substances;
            • Is in possession of a weapon prohibited by law and/or dangerous objects;
            • Displays behaviour that is provocative or offensive, incites hatred, anger, or racism, and/or disturbs public order;
            • Disrupts the work of Easyfairs Belgium employees and/or the relevant Organiser;
            • Disrupts the visit to the Site of other Visitors;
            • Has been issued an access ban to the Site by Easyfairs Belgium and/or the relevant Organiser and/or a judicial authority; or
            • Fails to comply with the provisions of these Internal Rules, despite requests to do so by Easyfairs Belgium and/or the Organiser.


              • To guarantee the safety of the Event, its Visitors, and the Site, Easyfairs Belgium and/or the relevant Organiser calls upon recognised security services. Security guards may, within legal conditions, refuse access to the Event and the Site, which includes frisking (examination of the person’s clothing and body) and searching (inspection of personal belongings).

                5. Safety

                5.1. General

                During a visit to the Site, every Visitor undertakes to comply with the safety rules of Easyfairs Belgium. These safety rules can be consulted here. A copy of these safety rules can be obtained upon request.

                A Visitor who is confronted with an unsafe situation for themselves and/or for other Visitors shall inform an employee of Easyfairs Belgium and/or the Organiser as soon as possible.

                It is strictly prohibited for a Visitor to (without this list being exhaustive):

                • Smoke in the buildings, halls, premises, restaurants, toilets, and queues of the Site (including e-cigarettes regardless of form). Smoking is permitted in the outdoor areas of the Site in the designated places;
                • Fly a drone on, in, or over the Site without the prior written and express consent of Easyfairs Belgium;
                • Make photo, video, and/or sound recordings for professional purposes without express consent from Easyfairs Belgium (see also article 6. Privacy);
                • Cause damage to other Visitors or to employees of Easyfairs Belgium or the Organiser, or to goods, installations, and/or buildings of the Site;
                • Enter premises that are not intended for the public (for example, a technical room and any space indicating it is only accessible to employees of Easyfairs Belgium), unless a professional activity requires this and, where applicable, provided there is express authorisation from Easyfairs Belgium;
                • Obstruct passage to entry and/or evacuation routes, emergency doors, fire-extinguishing equipment, stairs, or stairwells. Objects obstructing these passages may be removed by Easyfairs Belgium, or by a third party commissioned by Easyfairs Belgium;
                • Compromise the safety of other Visitors or of employees of Easyfairs Belgium or an Organiser;
                • In general, disturb order on or within the Site;
                • Bring (loud) music systems into the Site;
                5.2. Accidents

                Any accident that has occurred or any injury sustained during a visit to the Site must be reported immediately, and at the latest before leaving the Site, to the Site’s first aid post for registration, examination, and treatment (if necessary).

                5.3. Evacuation
                In the event of fire or any other incident leading to the evacuation of (part of) the Site, every Visitor undertakes to strictly follow the instructions of Easyfairs Belgium employees and the emergency services.


                  In the event of an evacuation of (part of) the Site, it is prohibited to re-enter the evacuated areas without the prior express consent of the Site employees and/or the emergency services.

                  6. Privacy

                  6.1. CCTV cameras

                  Every Visitor may be photographed and/or filmed by the CCTV cameras present on the Site, whereby these images may be recorded and stored. The recording, storage, and registration of these images take place in accordance with applicable legislation (the Law of 21 March 2007 regulating the installation and use of surveillance cameras, as amended or replaced where applicable) and exclusively for the purpose of maintaining order and safety on the Site.

                  6.2. Photography and filming by Easyfairs

                  On the Site, the image of Visitors (photo and video) may be captured as part of the promotional material that Easyfairs Belgium and/or the Organisers create during Events. This material may be shared on the website of Easyfairs Belgium and/or the Organisers or may be broadcast on television. When this occurs, the personal data of Visitors is processed based on the legitimate interest of Easyfairs Belgium and/or the Organisers to promote Events. If targeted photos or videos are taken of a Visitor during a visit to the Site or during an Event, the Visitor in question will always be asked for permission on-site beforehand, at least orally, for the processing and further use, both to safeguard their personal data and their right to their image.

                  6.3. Photography and filming by parties other than Easyfairs

                  Visitors who wish to make photo, video, and/or sound recordings for professional purposes in connection with Events must make specific prior written arrangements with Easyfairs Belgium and/or the Event Organiser. If permission is granted for this, they must inform the other Visitors of the Event and, where applicable, request the necessary consents in accordance with the applicable legal provisions.

                  7. Parking and mobility

                  7.1. Use of the car park

                  Parking on the Site takes place in the designated areas.

                  No motorised or non-motorised vehicle (and/or trailer) may be located in a place not designated for that purpose or where it is indicated that it is reserved for specific persons (including a specific Visitor).

                  It is prohibited to enter the Site car park between 23:00 and 06:00 or to leave a vehicle on the Site car park between the aforementioned times, except as a Visitor of an Event taking place after 23:00 and provided that the vehicle is parked in a designated area.

                  Every Visitor shall ensure that his or her vehicle is properly locked when left in the Site car park and that any valuable objects inside the vehicle are not visible.

                  Easyfairs Belgium reserves the right to have any vehicle left on the Site car park after 23:00 that is not owned by a Visitor of an Event taking place after 23:00, or that is not parked in a designated area, towed away at the expense of the owner of the vehicle in question.

                  Bicycles must be parked in the designated areas. Easyfairs Belgium reserves the right to move (or have moved) bicycles that are not parked in the designated areas to those areas, where applicable at the expense of the owner of the bicycle in question.

                  7.2. Use of charging stations

                  Charging vehicles is only permitted in marked spaces, and vehicles may not be parked for longer than 24 hours without permission.

                  Charging stations are exclusively intended for electric vehicles that need to be charged. Users must move their vehicle within 30 minutes of completing the charging session.

                  A starting rate of €1.00 applies per charging session, and if the vehicle is not moved after 60 minutes of inactivity, an ‘idle fee’ of €0.03 per exceeded minute will be charged.

                  7.3. Mobility and speed regulations

                  All motorised vehicles must adhere to a maximum speed limit of 30 km/h on the site.

                  During events, only motorised vehicles for persons with a disability (for example, mobility scooters) are permitted in the halls, with a maximum speed of 5 km/h (walking pace).

                  Scooters are not permitted in the halls, except during the build-up and breakdown period.

                  8. Commercial activities

                  It is prohibited for Visitors to develop any commercial activity on the Site, distribute flyers or other promotional material, put up posters, hold meetings or speeches, collect membership fees, conduct fundraisings, or distribute items for free, exchange them, etc., without the prior written and express consent of Easyfairs Belgium.


                    Violations of this prohibition shall automatically and without notice of default give rise to compensation in the amount of EUR 3,000 per individual infringement and per day that the infringement continues, excluding, where applicable, the costs relating to the cleaning and maintenance of the part of the Site used for the commercial action and without prejudice to the right of Easyfairs Belgium to claim higher compensation if the amount of the damage actually suffered exceeds the aforementioned amount.

                      It is prohibited to use tickets for Events for advertising, commercial, or promotional purposes, nor for games, competitions, or gambling activities, without the prior written and express consent of Easyfairs Belgium.

                      9. Food and beverage outlets

                      Food and beverage outlets are offered on the Site by the Organiser or by Easyfairs Belgium (in its own capacity or via its concessionaires, partners, or subcontractors), in the context of public sales or during Events. The assortment of the various food and beverage outlets, as well as the sales prices, are clearly indicated at each food and/or drink point of sale.

                      10. Waste, well-being & hygiene

                      Every Visitor undertakes to behave in an environmentally friendly manner during his or her visit to the Site by (among other things) sorting waste in the designated waste islands and by respecting fences, plants, flowers, and lawns.

                        Every Visitor is expected to attend to his or her sanitary needs (including childcare) in the designated and marked areas.
                          It is prohibited to throw objects into the toilets.
                            Menstrual products, diapers, wet wipes, etc., must always be deposited in sanitary bins.
                              The water in the fixed and mobile sanitary facilities is not potable; therefore, a drinking ban applies.

                              11. Electricity

                              The power connections of the Site are intended exclusively for the use of the facilities and services offered during Events. It is strictly prohibited for Visitors to connect personal electronic devices to power connections. Personal electronic devices include (among others): telephones, laptops, tablets, power banks, chargers, and other devices not directly related to the organization or execution of an Event.


                                In the event of unauthorized use of the power connections, which continues despite a request to cease such use, Easyfairs Belgium reserves the right to seize an electronic device connected to a Site power connection for the duration of the visit of the owner of the electronic device. The seized electronic device will be kept at the Site reception or with security, where it can be collected at the end of the visit, subject to identification of the owner of the electronic device. Easyfairs Belgium also reserves the right to charge flat-rate compensation in the amount of EUR 350 to compensate for the administrative and consumption costs associated with this.

                                12. Network

                                The Visitor may connect to the FREE_WIFI network for internet access and must respect the guidelines under the ‘General Terms of Use’, which can be read for agreement when logging on to the FREE_WIFI network.


                                  Interfering and unofficial hotspots from Visitors will be tracked down and removed at the Visitor’s expense.

                                  13. Lost property

                                  Every Visitor is responsible for their belongings.


                                    If a Visitor finds lost property belonging to third parties, it must be handed in at the Site reception. Easyfairs Belgium cannot be held responsible for any deterioration of the lost property kept at the reception. Easyfairs Belgium will make all reasonable efforts to find the owner in application of articles 3.58 and 3.59 of the Civil Code.

                                      If a Visitor has lost objects themselves, they can report this by e-mail via the contact page of the Site’s website as mentioned under article 3.2.

                                        Recovered objects can be collected by appointment after contact or returned to the owner, subject to payment of shipping, packaging, and administration costs. Lost property is kept for a maximum of one month.

                                        14. Liability and information

                                        14.1. Liability

                                        Every Visitor is personally responsible and liable for the damage he or she causes to the Site and undertakes to compensate Easyfairs Belgium for this at its first request.

                                        Visitors to the Site participate in Events at their own risk.

                                        Easyfairs Belgium is not liable for:

                                        • Physical or non-physical damage to a Visitor as a result of participation in an Event, which is not due to a serious fault or intent on the part of Easyfairs Belgium or to a serious defect of the Site;
                                        • Damage to or loss or theft of property of a Visitor, including motorised or non-motorised vehicles and bicycles parked in the Site car park (whether or not in the designated areas) and in particular of electronic devices of Visitors seized as a result of unauthorised use of the Site’s power connections in accordance with these Internal Regulations;
                                        • Indirect damage, except in cases of serious fault or intent;
                                        • Errors and omissions of third parties, including Organisers, with the exception of those of its own subcontractors.
                                        14.2. Information
                                        The information regarding Events displayed on the website of Easyfairs Belgium or the Site is the same as that communicated to Easyfairs Belgium by the Organiser of the respective Event. However, Easyfairs Belgium provides no guarantee to Visitors regarding the accuracy and completeness of this information, including, but not limited to, information concerning commercial warranties and fitness for a particular purpose.


                                          If the Site’s website contains a link to an external website of another company (whether or not an Organiser of an Event), Easyfairs Belgium provides no guarantee to Visitors regarding the content of that external website. Consequently, Easyfairs Belgium cannot be held liable for the content of that external website or for the manner in which that other company handles the personal data of Visitors. Easyfairs Belgium advises Visitors to always read the privacy statement of external websites of other companies for more information on the use, processing, and protection of personal data.

                                          16. Disputes

                                          This Internal Regulation shall be interpreted exclusively in accordance with Belgian law.


                                            Any dispute regarding the interpretation or application of this Internal Regulation shall be submitted exclusively and finally for adjudication to the courts and tribunals of the judicial district of the place where the Site is located.
